We are looking for a Personal Assistant. Missions: Deal effectively with telephone calls, queries, messages and receive and direct internal and external clients/visitors appropriately. Organize and maintain diaries and ensure that appointments are communicated and confirmed with relevant internal and external parties. Arrange payment of invoices and maintain records and monitor the relevant budgets in this regard. Identify and schedule appropriate venue, travel and accommodation arrangements and manage the logistics of all venue, travel and accommodation requirements. Prepare meeting schedules, agendas, meeting minutes, correspondence, reports and memos with high quality and in a timely manner. Handle confidential information appropriately and ensure proper filing. Attend to meetings and team administrative requirements, such as preparation of reports; documents; presentations; venues, refreshments, access authorisations and equipment requirements. Assist with the on-boarding of new employees by arranging computer access, telephone access, parking, working station/office, stationery for new staff; and schedule meetings with relevant stakeholders as part of their orientation. Maintain and update the Conflict of Interest (COI) Broker spend register
